1. What information do we collect?
We may collect, store and process the following kinds of personal information:

- Information relating to any transactions carried out between you and us on or in relation to this website, including information relating to any purchases you make of our goods or services (including ordering publications and resources or booking places on events);
- Information that you provide to us for the purpose of registering with us as a Member or Partner (name, organisation, job title and email address);
- Information that you provide to us for the purpose of registering for our events (name, organisation, job title, email address, contact number and details of any disability related adjustments you may require);
- Information that you provide to us for the purpose of subscribing to our website services, email notifications and/or newsletters;
- Any other information that you choose to send to us via our membership enquiry, contact or award entry forms.
2. Using your personal information
We may use your personal information to:
- Improve your browsing experience by personalising the website;
- Administer any Business Disability Forum Member or Partner account to enable you to use the services available to our membership via our Knowledge Hub;
- Send to you goods purchased via the website, and supply to you services purchased via the website;
- Provide relevant adjustments to ensure that you have full access to our events, for example if you tell us you need e.g. live captioning, a large print version of an agenda or special dietary requirements;
- Process submissions to our annual Disability-Smart Awards;
- Send you email notifications which you have specifically requested;
- Send to you our newsletter and other marketing communications relating to our business which we think may be of interest to you by post or, where you have specifically agreed to this, by email or similar technology (you can inform us at any time if you no longer require marketing communications);
- Deal with enquiries and complaints made by or about you relating to the website.
Where you submit personal information for publication on our website, we will publish and otherwise use that information in accordance with the license you grant to us.
We will not without your express consent provide your personal information to any third parties for the purpose of direct marketing.
3. Retaining and deleting personal information
Personal data that we process for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes.
We will retain your personal information as follows:
- 3.1 Members and Partners for the duration of your membership and for a maximum period of 60 months following the cessation of your membership;
- 3.2 We will delete the information provided on your events registration form within one week of the event taking place although your registration details will be subsequently held on the event attendee module of our CRM and your name, Job Title and email address will be added to our mailing list if you have consented to being receiving correspondence from us;
- 3.3 Notwithstanding the other provisions of this Section 3, we may retain your personal data where such retention is necessary for compliance with a legal obligation to which we are subject, or in order to protect your vital interests or the vital interests of another natural person.
4. Other disclosures
- To the extent that we are required to do so by law;
- In connection with any legal proceedings or prospective legal proceedings;
- In order to establish, exercise or defend our legal rights (including providing information to others for the purposes of fraud prevention and reducing credit risk);
- To any of our agents, suppliers or subcontractors (but only as reasonably necessary for our purposes as set out above); and
- To the purchaser (or prospective purchaser) of any business or asset which we are (or are contemplating) selling.

If you are in the European Economic Area (EEA), information which you provide may be transferred to countries (including the United States and Australia) which do not have data protection laws equivalent to those in force in the EEA.

Of course, data transmission over the internet is inherently insecure, and we cannot guarantee the security of data sent over the internet.
You are responsible for keeping your password and user details confidential. We will not ask you for your password.

- 8.1 You may instruct us to give you access to any personal information we hold about you. The first copy is available with no fee but any subsequent copies may be subject to the payment of a fee (currently fixed at £10.00).
- 8.2 You have the right to have any inaccurate personal data about you rectified and, taking into account the purposes of the processing, to have any incomplete personal data about you completed.
- 8.3 In some circumstances you have the right to the erasure of your personal data without undue delay. Those circumstances include: the personal data are no longer necessary in relation to the purposes for which they were collected or otherwise processed; you withdraw consent to consent-based processing; you object to the processing under certain rules of applicable data protection law; the processing is for direct marketing purposes; and the personal data have been unlawfully processed.
However, there are exclusions of the right to erasure. The general exclusions include where processing is necessary: for exercising the right of freedom of expression and information; for compliance with a legal obligation; or for the establishment, exercise or defence of legal claims.
You may instruct us not to process your personal data for marketing purposes by email at any time. (In practice, you will usually either expressly agree in advance to our use of your personal data for marketing purposes, or we will provide you with an opportunity to opt-out of the use of your personal data for marketing purposes).
